Newmarket Jets Speed Skating Club — Terms & Conditions
Welcome to the Newmarket Jets Speed Skating Club (NJSSC). We are a volunteer-run, non-profit organization. By registering, you agree to the following terms and conditions, which apply to all skaters, parents, guardians, volunteers, and guests. These terms help us keep skating safe, organized, and enjoyable for everyone.
1) Safety & Risk
- Speed skating is a high-speed sport with inherent risks of injury, including but not limited to falls, collisions, and physical contact.
- By registering, you acknowledge and accept these inherent risks on behalf of yourself and/or your child.
- All skaters must hold valid Speed Skating Ontario (SSO) and Speed Skating Canada (SSC) registration and must have completed all required waivers before participating in any on-ice or off-ice club activity, including dryland training.
- All required safety equipment must be worn at every practice and competition. See the club website for current equipment requirements.
- NJSSC reserves the right to remove any skater from a session for safety reasons at any time.
2) Parental Responsibilities
- Parents and guardians must be reachable by phone during all practices and competitions.
- Skaters under 18 must be supervised before and after sessions. NJSSC is not a custodial organization and assumes no responsibility for skaters outside of scheduled session times.
- Parents and guardians are responsible for ensuring their child’s medical information on file is accurate and up to date.
3) Volunteering & Club Support
- NJSSC is volunteer-run. Every registered family is expected to contribute by either fulfilling a volunteer commitment or paying the non-volunteer fee set each season.
- Volunteer roles may include mat setup and teardown, rinkside safety, equipment care, fundraising, registration support, meet organization, photography, or other activities as needed.
- Failure to fulfill a volunteer commitment without prior notice or an approved alternative may result in the non-volunteer fee being applied to your account.
- Volunteering is what keeps the club safe, affordable, and sustainable for every family.
4) Refunds
- A non-refundable deposit is required at the time of registration to secure your spot. The deposit amount is communicated at registration.
- All fees — including deposits, membership fees, session fees, SSO/SSC fees, equipment rentals, and add-on programs — are non-refundable once payment has been made, regardless of whether the skater participates.
- If a facility cancels ice time and issues a refund to NJSSC, fees may be adjusted or credited at the club’s discretion at season end.
- Withdrawal from the program after payment does not entitle the member to a refund under any circumstances.
5) Fees, Payment Terms & Non-Payment
- A deposit is due at registration. The remaining balance is due by the mid-season payment deadline communicated at the time of registration and in your confirmation email.
- All fees must be paid in full by the applicable deadline. Skaters with overdue balances may not participate in practices, dryland, camps, or any other club activity until the account is brought up to date.
- NJSSC reserves the right to suspend on-ice and off-ice participation for non-payment without prior notice.
- Failure to resolve an outstanding balance after reasonable attempts to contact the parent or guardian may result in permanent removal from the program, without refund.
- Payment plans or deadline extensions may be considered only if requested in advance and approved in writing by the club.
- All email communications from NJSSC — including payment instructions, deadlines, and reminders — are sent to the email address provided at registration. Members are responsible for monitoring their inbox, including spam and junk folders. NJSSC is not responsible for missed communications due to delivery issues on the recipient’s end.
6) Photos & Media
- NJSSC may photograph and record video at practices, competitions, and club events for use on the club website, social media channels, newsletters, and club archives.
- Promotional use of photos or video in identifiable form requires your opt-in consent, which is collected at registration.
- You may withdraw consent at any time by emailing info@newmarketspeedskating.com. Upon withdrawal, we will remove images we control where reasonable and will avoid publishing new identifying content.
- Competition results and performance data may be shared publicly as part of normal sport operations without separate consent.
7) Code of Conduct
NJSSC is committed to providing a safe, respectful, and positive environment for all skaters, families, coaches, volunteers, and officials.
- All members, parents, guardians, coaches, volunteers, officials, and skaters are expected to treat one another with respect at all times — at the rink, at competitions, and in all club-related communications.
- Parents and guardians must not coach from the boards, interfere with training sessions, or direct on-ice instruction. Coaches are solely responsible for program design, training methodology, and on-ice instruction.
- Questions, concerns, or feedback must be raised respectfully and through the club’s formal feedback process. Informal complaints or feedback delivered at the rink or through unofficial channels will not be actioned.
- NJSSC is committed to safe sport. All participants are expected to comply with the Universal Code of Conduct to Prevent and Address Maltreatment in Sport (UCCMS) and the Responsible Coaching Movement principles.
- Disrespectful, disruptive, abusive, or unsafe behaviour — by skaters, parents, or guardians — may result in immediate removal from activities and/or disciplinary action, without refund.
- NJSSC reserves the right to refuse or revoke membership for conduct that is harmful to the club, its members, or its coaches.
8) Guest Skaters
- Guest skaters from partner clubs or outside organizations are subject to the same Code of Conduct, safety requirements, and payment terms as Jets members.
- Guest access is reviewed and approved on a case-by-case basis. Approval is not guaranteed and may be revoked at any time.
- All guest fees are non-refundable. Guest access may be revoked without refund for any violation of these Terms & Conditions.
- Guest skaters must hold valid SSO registration through their home club before participating in any NJSSC session.
9) Club Values
NJSSC follows True Sport principles. Members are expected to:
- Go for it – Strive for excellence.
- Play fair – Compete honestly.
- Respect others – Treat everyone with respect.
- Keep it fun – Contribute to a positive environment.
- Stay healthy – Train responsibly.
- Give back – Support the club and community.
10) Limitation of Liability
- NJSSC, its board members, coaches, volunteers, and officials shall not be liable for any injury, loss, damage, or expense arising from participation in club activities, except where caused by gross negligence or willful misconduct.
- Participation in all NJSSC activities is at the skater’s own risk, subject to applicable law.
11) Governing Law
These Terms & Conditions are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Any disputes shall be subject to the exclusive jurisdiction of the courts of Ontario.
